How to Specify a Sofa Before Asking Chinese Suppliers for Quotes

A sofa can photograph beautifully and still fail the household using it. A useful sourcing brief turns comfort, construction and service access into decisions that a Chinese supplier can quote, explain and reproduce.

The practical answer

Choose a sofa through a documented seat trial, dimensioned drawings and an agreed construction specification. Compare usable seating dimensions, cushion composition, support system, upholstery and removable parts separately. Ask the supplier to identify the exact production configuration behind its sample. For a whole-home order, check the sofa against the room plan and delivery route before approving its appearance; an expensive finish cannot correct a seat that does not suit its users.

Describe the people and activities first

Begin with the everyday scene: two adults watching television, children moving between the floor and cushions, or guests sitting upright for conversation. These activities imply different seat preferences. Record whether users rest their feet on the floor, curl up, lie across the sofa or need an arm to assist standing. State which preferences are essential and which can be served by a separate chair.

IKEA’s sofa buying guide identifies seat height, seat depth and backrest height as factors affecting sitting position. Use this as a reason to test dimensions, rather than as a universal sizing prescription. Record measurements from an existing sofa you enjoy, including the cushion in its normal occupied condition where practical. An overall width alone says little about the actual seating experience.

Separate outer dimensions from usable seating

The quotation should show overall width, depth and height alongside usable seat width, seat depth, seat height, arm height and back cushion position. A broad sculptural arm can consume considerable width without adding a seat. A deep platform may have a much shorter usable seat once loose back cushions are installed. Ask how dimensions are measured and what production tolerance is proposed.

For a sectional, label each module and show orientation from the seated person’s viewpoint. Include the connector position and whether a chaise can genuinely move to the opposite side. Do not infer reversibility from a mirrored catalogue image. Show the sofa in the room with doors, circulation paths and coffee table. A full-size floor outline made with removable tape is a useful low-cost check before a custom order.

Request a construction description that can be checked

Ask for a simple bill of materials covering frame members, structural panels, joints, seat support, cushion layers, upholstery and feet. A bill of materials is an itemized description of what the product contains. Descriptions such as premium frame or luxury foam are not sufficiently specific to compare two offers. Request species or panel type where relevant and a diagram of support locations.

Foam density, firmness and cushion thickness answer different questions; avoid turning one number into a comfort ranking. Ask how the sample differs from the proposed production sofa and whether replacement cushion inserts can be ordered. If a supplier sends a test report, match its model, construction and upholstery to the quotation. A report for a different collection is background information, not evidence for the exact sofa being ordered.

Use upholstery evidence without overvaluing a rub count

Choose fabric by the conditions it will face: direct light, food spills, pets, frequent cleaning and contact with dark clothing. Request a physical cutting, composition, care instructions and relevant performance reports. Ask which seams, zips and cover sections are accessible. Removable does not automatically mean machine washable, and a washable fabric does not establish that an entire lined cover can be washed without change.

The Association for Contract Textiles explains that abrasion results do not predict product lifespan and that different abrasion methods should not be treated as interchangeable. For this purchase, compare results only with the test method identified, then give equal attention to cleaning and construction. Approve fabric direction and seam placement on a drawing when a textured or patterned cloth is involved.

Build a short sofa acceptance sheet

The acceptance sheet should describe visible and functional outcomes that both parties can understand. Ask the supplier to propose attainable tolerances; do not invent engineering limits from a photograph. Inspection can confirm dimensions, labels, finish and operation, while long-term comfort remains a separate uncertainty. Make the signed sample and approved drawing the references used during inspection.

Retain one sample with the buyer and one with the supplier so that later colour discussions reference the same material.

Illustrative decision: a compact living room

Imagine a household considering a 2.8-metre sofa for an apartment. One offer uses broad arms and deep loose cushions; another has slimmer arms and an upright back. The second may provide more usable seating even though both share the same advertised width. The buyer marks both footprints on the floor, then adds the coffee table and checks access to a balcony door.

The household likes the first sofa’s look but finds the sample too deep for its shorter adult. Instead of requesting an unspecified softer version, it asks for a revised back cushion and confirms the resulting usable depth in a new sample. The supplier must also explain whether that change alters the seam layout. This example has no assumed test result or price advantage: it shows how a preference becomes a measurable production decision.

Choose the supplier that resolves the actual sofa questions

A shortlist produced by a search for Recommended whole-home furniture suppliers in China becomes useful only when each company responds to the same sofa brief. Evaluate the precision of its answers, willingness to identify construction and ability to distinguish confirmed features from proposed customization. Ask who coordinates sofa dimensions with curtains, rugs and neighboring cabinetry in the broader order.

If Mlissia Casa is a candidate, request the construction sheet, usable seat dimensions, a labelled upholstery sample and an explanation of how the proposed sofa will be inspected. Treat those as open questions until evidence arrives. Finish selection should follow comfort and access approval. The purchase is ready when the household knows what it will sit on, how it enters the home and which documented configuration the supplier is promising to deliver.
